Welcome to the Privacy Policy of Round One, Inc. ("Raz", "we", "us", or "our"). This document explains how we collect, use, protect, and disclose your personal information as you engage with our lead engagement platform and related services ("Services"). We understand the importance of privacy for our users and customers ("you", "your", "User"), and we are committed to safeguarding it.

This Privacy Policy applies to personal information collected through our website, applications, and any other interactions you have with our Services. It includes details on the data you provide when creating an account and during your continued use of our Services. Please be aware that this policy does not extend to third-party websites, applications, or services that may be linked from our Services.

1. Type of Users

This Privacy Policy addresses two distinct categories of users (collectively referred to as “Users”):

  1. Business Customers or Business Users: Businesses that pay for and use our Services to engage with their leads.
  2. Content Appropriateness. Users are required to ensure that the content delivered through RAZ services is suitable for all audiences, including minors, and restrict sexually explicit content to legitimate educational or scientific purposes.


NOTE : Please understand the distinct roles each category plays, as outlined in this policy, because they directly translate into specific liabilities and obligations for each party. By acknowledging these roles, users can better comprehend how their information is handled and their respective rights and responsibilities under this Privacy Policy.

2. Information We Collect.

We collect information about you directly from you, from third parties, and automatically through your use of our Services.

  1. Information You Provide to Us.

    i. Personal Information → such as your name, email address, phone number, and other contact details when you create an account, request a demo, or communicate with us.

    ii. Communication Information → including surveys, transcripts, and recordings of your communications with us.

    iii. Content Information → information you provide or content you upload or submit to our websites, applications, and message boards.

    iv. Business Information →  business contact information similar to what would appear on a business card.
  2. Information Collected Automatically.

    i. Usage Data → Information about your use of our Services, including IP address, browser type and version, pages you visit, time and date of your visit, time spent on those pages, and other diagnostic data.

    ii. Device Information → Such as your hardware model, operating system version, mobile network, IP address, unique device identifiers, and browser type.

    iii. Activity Information → information about your activity on our website and interaction with our communications, such as access times, pages viewed, links clicked, and the referring URL.

    iv. Tracking Information → Information collected through cookies, web beacons, and similar tracking technologies. These technologies help us improve our website and communications, see which areas and features of our website are popular, count visits, and track clicks. You may adjust your browser settings to remove or reject browser cookies, but this could affect the availability and functionality of our website.

  4. Information Collected Depending on Business Customer and End User. The specific data collected through our Services depends on the Business Customer and the End User. As a service provider, Raz acts as a processor of personal data on behalf of our Business Customers. Therefore, we do not control what information is processed or shared during interactions facilitated through our platform and/or Services. The data collected may include, but is not limited to: (i) Transcripts of Conversations between End Users and Business Customers on their website, mobile apps, or other media used to communicate via our Services; (ii) data related to End Users’ browsing, purchasing, and online behavior as requested by the Business Customer; and (iii) information such as IP address, operating system, and type of device used by End Users.
  5. Obligation to Inform and Educate. Business Users are responsible for informing their End-Users about the nature of the data collected, the purposes of its collection, and how it is processed within Raz's services. Users must ensure transparency and provide clear, understandable information as required by law.

    i. The Business User should provide the option to configure your browser settings to decline cookies.

The data collected and shared during these interactions is determined by the Business Customer's privacy practices and policies. End Users should refer to the respective Business Customer’s privacy policy for details on their data collection and use practices. RAZ IS NOT RESPONSIBLE FOR THE PRIVACY AND DATA SECURITY OF OUR BUSINESS CUSTOMERS. The Business Customers acknowledge and agree that Raz is indemnified and shall not be held liable for any issues, damages, or losses that arise from the operations or data management practices of Business Customers. Users acknowledge that any claims related to data handling by Business Customers must be directed towards the respective Business Customer and not Raz.

3. How the Data is Used

  1. Account and Service Management Information. When you register for Raz services, we collect essential identifiers such as your name, email address, phone number, and details about your organization (Please Note: this information is needed for setup and management of your account, allowing us to deliver continuous support and communicate important service updates).
  2. Service Configuration and Usage Insights.As you interact with Raz’s lead engagement platform, we track your configuration settings and usage patterns. This includes the specific features you employ, frequency of use, and your preferences. 
  3. Business Purpose and Data Collection by Customers. Raz’s platform is designed for businesses to engage with their clients effectively. The personal data collected via these interactions, including but not limited to names, contact information, and interaction logs, are determined and controlled by you, our User. Raz acts as a processor of this information, relying on your direction and compliance with relevant data protection laws. THE BUSINESS USER ACKNOWLEDGES AND AGREES THAT THEY ARE SOLELY RESPONSIBLE FOR OBTAINING THE NECESSARY CONSENTS AND ENSURING LEGALITY WITH THE COLLECTION AND PROCESSING OF SUCH DATA.
  4. Technical Information. Each time you access Raz services, we automatically collect technical information about the device and network you use, such as IP addresses, device types, operating system versions, and browser types. This information is crucial for maintaining the security and performance of our services.
  5. Cookies and Tracking Technologies. Raz utilizes cookies and similar technologies to enhance user experience, manage user sessions, remember preferences, and conduct analytics. These technologies provide insights into how our services are used, enabling continuous improvement.
  6. Analytics and Performance Data. We deploy analytics tools to evaluate the performance of our services and gain insights into user engagement. This data helps us identify usage trends, optimize product design, and innovate new features, ensuring that our Services meet the evolving needs of our End Users
  7. Communications and Interactions. We maintain records of all communications with our Users, including queries to customer support and feedback submitted through our services. These records help us address your needs more effectively and inform future enhancements to our services.
  8. Integration with Third-Party Services. Our platform allows integrations with various third-party services to enhance its functionality. We collect information related to these integrations to ensure seamless service delivery. The use of third-party services through Raz platforms is governed by their respective privacy policies and terms.
  9. Enhancement and Optimization. Your information helps us in the ongoing improvement and optimization of our services. We conduct research and analysis to develop new features, enhance existing ones, refine our algorithms, and improve overall usability and user experience on our Site and Services.

Legal and Compliance Notice. In addition to the above, we may collect and retain information as required by law or for legitimate business purposes. We participate in compliance and regulatory oversight, ensuring that all data handling adheres to legal standards and industry best practices.

Our Services may include links to websites operated by third parties ("Third-Party Websites"). These links are provided solely as a convenience to you. 5. Business User Responsibilities in Data Collection

As a Business User of Raz's services, you retain full control over the types of personal information (“PI”) collected through your interactions with your End Users via our platform. You acknowledge and agree that it is your responsibility to determine what data is necessary and relevant for your business operations and to configure the services accordingly. You must ensure that all data collection practices conducted through Raz's services comply with applicable data protection and privacy laws. This includes obtaining all necessary consents from your customers, providing clear and transparent information about your data collection activities, and respecting your customers' privacy rights.

  1. Data Collection Settings and Tools. Raz provides tools and settings that allow you to customize the data collection features of our services. You are responsible for appropriately setting up and maintaining these configurations to align with your legal obligations and business requirements.
  2. Secure Data Handling. As the primary data controller, you are responsible for ensuring the security of the data collected through Raz's services. This includes implementing adequate security measures to protect the data from unauthorized access, disclosure, alteration, and destruction.
  3. Training and Policy Enforcement. As required by applicable law, you are required to train your staff on compliant data handling practices and enforce privacy policies that govern their actions when using Raz's services. Regular audits and reviews should be conducted.
  4. Notification of Data Breaches. In the event of a data breach affecting information collected through Raz's services, you are responsible for immediately notifying the affected individuals, Raz, and relevant authorities in accordance with applicable laws.
  5. Data Subject Rights. You must provide mechanisms for individuals to exercise their rights over their personal data, such as accessing, correcting, deleting, or transferring their data, as provided under applicable privacy laws.

6. Disclosure of Information and Transfer

Raz may share the categories of information described below for business operations, service improvement, and in compliance with legal requirements:

  1. Vendors and Service Providers. We disclose information to third-party vendors, service providers, contractors, and consultants who require this information to perform services on our behalf. This includes but is not limited to providers assisting with web hosting, payment processing, data analysis, customer support, and marketing efforts.

  5. Affiliates and Subsidiaries. Information may be shared within our family of companies, including parents, corporate affiliates, subsidiaries, business units and other companies that share common ownership for internal administration purposes.
  6. User Consent. We may share information with additional third parties when we have the user's explicit consent or under the direction of the user.

Transfer of Information.

We may also disclose aggregated, anonymized, or de-identified information, which cannot reasonably be used to identify individuals, for various business purposes, including product and service development and enhancement.Raz is headquartered in the United States, with operations, entities, and service providers in the U.S. and globally. As a result, we and our service providers may transfer, store, or process your information in jurisdictions that may not provide equivalent levels of data protection as your home jurisdiction.

7. Adaptation to Evolving Legal Standards

Raz recognizes that data protection laws are continually evolving across different jurisdictions. While we strive to ensure compliance with global data privacy laws, we do not have specific control over the operations of our Business Users, including where they operate or how they manage data they collect using our Services.

As such, Business Customers are responsible for ensuring that their use of Raz Services complies with all applicable laws, including those concerning data privacy and protection in their respective regions. Raz provides the tools and support necessary to facilitate compliance, but ultimate responsibility for legal adherence rests with the Business Customers. Notwithstanding the foregoing, we are dedicated to processing your personal data in accordance with the highest standards of data protection and privacy laws applicable to our operations, including the:

  1. General Data Protection Regulation (GDPR). As established by the European Union, the GDPR sets guidelines for the collection, processing, and free movement of personal data of individuals within the EU. Raz adheres to these regulations to ensure that the privacy rights of EU residents are respected and protected. As a resident of the UK or EU, you have specific rights regarding your personal data:

    i. Right of Access: You can request access to the personal data we hold about you.

    ii. Right to Rectification: You have the right to have inaccurate personal data corrected.

    iii. Right to Erasure: You can request the deletion of your personal data when it is no longer necessary for the purposes collected.

    iv. Right to Restrict Processing: You have the right to request the restriction of processing your personal data under certain conditions.

    v. Right to Data Portability: You can ask for the transfer of your personal data to another party.

    ii. Right to Deletion: You can request the deletion of your PI from our records and direct our service providers to do the same.

    iii. Right to Non-Discrimination: Exercising your CCPA rights will not result in discriminatory treatment.

8. Note on Artificial Intelligence & Data Accuracy

Users should be aware that outputs from AI services, including those from Raz, are based on algorithms and data inputs that may not always result in factually accurate information. Business Users and End-Users are responsible for verifying the accuracy and appropriateness of the information generated through Raz services before relying on or utilizing it, especially in critical or high-stakes situations. RAZ MAKES NO REPRESENTATIONS AND WARRANTIES REGARDING THE ACCURACY OF AI-GENERATED OUTPUTS AND IS NOT LIABLE FOR ERRORS OR OMISSIONS THEREIN. For more information, please see our Terms of Service.

9. Miscellaneous

  1. Indemnification. Users agree to indemnify, defend, and hold harmless Raz and its affiliates, officers, agents, employees, and partners from any claims, liabilities, damages, losses, and expenses, including reasonable attorneys' fees and costs, arising from or in any way connected with their (i) Misuse of Raz's services; (ii) Violation of applicable laws or regulations; (iii) Infringement of any third party rights through the use of Raz's services; and/or (iv) Failure to obtain adequate consent from the individuals whose data they collect, process, or use through Raz's services.
  2. Release of Liability. By using Raz's services, Users agree that Raz is not liable for any actions, claims, losses, or damages arising from or related to the Users' improper use of collected data or failure to comply with applicable data privacy laws. Raz is released from all liability concerning the Users' compliance with such laws.
  3. Enforcement and Compliance Monitoring. Raz reserves the right to review and monitor Users' compliance with these terms as part of the service agreement. Non-compliance may result in termination of service and other legal actions as deemed necessary by Raz to enforce these terms.
  4. Children’s Privacy Protection. Raz services are not designed to attract individuals under the age of 13 (“Children”). We do not intentionally gather personally identifiable information from children under the age of 13. If you are a parent or guardian and discover that your child has provided us with personal information, we urge you to contact us immediately. Upon learning that we have collected personal information from a child under 13 without parental consent verification, we will promptly take necessary actions to eliminate such data from our servers. 
  5. Privacy Policy Modifications. Raz reserves the right to amend this Privacy Policy at any interval. Any updates will be communicated by publishing the revised policy on our website. You can determine the recency of changes by referring to the modification date indicated at the top of this Privacy Policy. Amendments to this Privacy Policy take effect upon their posting on our website.
